Step-by-Step Guide for NCA Project Registration

The National Construction Authority, a State agency that regulates the Kenyan construction industry, offers registration and accreditation of contractors, site workers and supervisors.

The Authority is also authorised to keep a register of all construction works happening across the country. It is the duty of developers to register their projects with the agency.

NCA project registration

Here is how to register a project with the NCA:

1. The NCA online project registration process begins by visiting: www.nca.go.ke.

2. Click on the ‘Portals’ tab and then click on ‘Project Registration’, which will take you to the ‘Project Registration’ portal.

3. Log in with your email address and password. Any developer can create an account and apply for Compliance Certificate using this option.

Filling & Submission

4. Once inside the portal, click on ‘New Application’ and fill in project details, upload all the required documents (see below) and click on the submit button.

This will trigger a confirmation email that will be sent to all consultants and contractors involved in the project. A unique tracking number (starting with “PRJ.REG”) will also be generated automatically.

Editor’s Note: As an account holder, you are allowed to register an unlimited number of projects from one account.

Project Verification

5. It is important to ensure that your consultants accept their engagement on email and that all the required documents are uploaded before the NCA regional coordinator reviews the application.

If the application has been completed as required, an email will be sent to the developer asking them to await a scheduled site inspection.

However, if some details are missing the application will be sent back to the developer to review or act on the technical comments.

Compliance Certificate

6. Once a compliance officer completes the site inspection and files a digital report, the regional coordinator can either approve the application or return it with comments.

A compliance certificate (with a unique project ID) should be sent automatically to the developer’s email within 7 days of approval – depending on the risk level of the project.

A developer wishing to change consultant, contractor, or project details should log into the portal and click on ‘View Update Application’.

All the required documents should be uploaded again, after which the regional coordinator will review and approve changes if the application is in-order.

NCA project registration requirements

  • The contractor and sub-contractor must be registered by the NCA and must have a valid practicing license for the current financial year.
  • The project consultants must be registered with valid practicing licenses by their respective professional bodies.
  • Approved architectural and structural drawings.
  • Physical planning forms (county approval permits/letters/PPA2)
  • Other statutory approvals (Nema, EPRA, WRA, KCAA) where applicable.
  • Bill of Quantities summary page duly signed and stamped by the QS.
  • Developer’s KRA PIN.
  • Signed contract/tender form/signed agreement by developer with contractor.
  • Supervision commitment letters by consultants and/or agreements/contract by developer with consultants.
